AI Data Use Policy

GrantProof may offer optional AI-assisted functionality to help authorized users summarize or review readiness information. This policy explains the customer-facing data rules for those features.
User-initiated
AI-assisted functionality is not intended to make compliance decisions on its own. It is used only for a user-requested action in an authorized workspace where the feature is available.
Data minimization
GrantProof is designed to send only the information needed for the specific AI-assisted action. That may include selected grant metadata, readiness information, evidence labels, or notes relevant to the request.
Excluded information
GrantProof does not intentionally send passwords, API keys, session credentials, payment-card details, or another customer organization's data to an AI provider. Raw uploaded document files are not provided merely because they exist in the workspace.
No model training on customer records
GrantProof does not use customer records to train AI models and does not opt customer data into provider model training.
Customer content is evidence, not authority
Customer-entered and document-derived content is treated as material to review, not as instructions that can redefine GrantProof's system behavior or turn an assistant response into a compliance certification.
Human review required
AI output is a readiness aid, not legal, accounting, audit, or compliance certification. Users should verify consequential conclusions against the underlying grant record and obtain qualified professional judgment where appropriate.
